Used well, abbreviations save space, reduce unnecessary repetition and make a manuscript easier to read. Used poorly, however, they can create exactly the opposite effect, forcing readers to stop repeatedly to remember what a string of letters means.
This is why many academic journals ask authors to keep abbreviations to a minimum. Some journals restrict them primarily to recognised units of measurement and a small number of established disciplinary terms. Others permit more extensive abbreviation but provide detailed rules governing how abbreviated forms must be introduced, defined, capitalised and used. Following those instructions precisely is important not only for formal compliance but also for clear scholarly communication.
The central principle is simple: use an abbreviation only when it genuinely makes the text clearer or more efficient. An abbreviation that appears twenty times may be useful. An abbreviation introduced for a phrase that appears only twice usually creates more work for the reader than it saves for the author.

- an MRI scan, because M is pronounced “em”;

- a NASA mission, because NASA is pronounced as a word beginning with an n sound.

The goal is never to achieve the shortest possible sentence. The goal is to communicate information efficiently. A few additional words are worthwhile if they prevent readers from repeatedly returning to earlier pages to check definitions.
10. Be Cautious with Abbreviations in Titles and Headings
Titles should normally be understandable to the widest relevant audience, so non-standard abbreviations are often best avoided. An unfamiliar acronym in a title can reduce clarity and may even affect discoverability because readers searching for the full expression may not immediately recognise the abbreviated form.
Some very familiar terms, such as DNA, HIV or COVID-19, may be acceptable without definition, but journal policy should determine the final choice. If an abbreviation appears in a heading, make sure it has already been defined in the preceding text unless the abbreviated form is universally recognised in the field.
11. Handle Latin Abbreviations Carefully
Latin abbreviations such as e.g., i.e., etc. and cf. are longstanding features of scholarly writing and normally do not require definition. They should, however, be used correctly and consistently.

- parentheses;
- footnotes and endnotes;
- tables;

you might write:

Similarly, i.e. means that is, whereas e.g. means for example. The two are not interchangeable. The abbreviation etc. means and other things of the same kind and should not be used when the category of omitted items is unclear. Avoid expressions such as and etc., because the word and is already built into the meaning of etc.
12. Do Not Introduce an Abbreviation You Never Use Again
One of the easiest abbreviation problems to spot during proofreading is a definition followed by no subsequent use. For example:
The study examined perceived organisational resilience (POR). Organisational resilience was measured using...
If POR never appears again, the parenthetical definition serves no purpose and should be deleted. Introducing an abbreviation signals to readers that they will encounter it later. If that expectation is not fulfilled, the definition becomes unnecessary visual clutter.
A useful final editing technique is to search electronically for each abbreviation. If an abbreviation appears only once or twice, consider removing it and using the full expression instead.
13. Avoid Defining Universally Recognised Abbreviations Unnecessarily
The opposite problem also occurs: authors sometimes define abbreviations that their journal treats as standard. Writing deoxyribonucleic acid (DNA) in every biomedical article may be unnecessary, just as spelling out certain recognised statistical or measurement terms may distract specialist readers.
There is no universal list that applies to every journal or field, which is why journal instructions matter. A cardiology journal may assume considerably more specialist knowledge than an interdisciplinary public-health journal. Define terms with the intended readership in mind.
14. Distinguish Acronyms, Initialisms and Shortened Forms
Although all are often casually described as abbreviations, different shortened forms behave differently. An acronym is usually pronounced as a word, such as NASA or NATO.
